Office Administrator

Location: Worcester, MA (in office)

Job Description: We are seeking a dynamic and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, supporting our financial systems, and ensuring a smooth workflow within the office. Key Responsibilities:

  • Oversee day-to-day office operations, including answering phones, scheduling appointments, and greeting clients.
  • Assist with client communications, including emails, phone calls, and follow-ups.
  • Prepare and organize client files, ensuring all documentation is accurate and up-to-date.
  • Support financial systems with administrative tasks such as data entry, report generation, and document preparation.
  • Administer accounts receivable, including customer invoices, payments, and bank deposits.
  • Administer accounts payable, including company expenses and bill payments.
  • Assist with company financial reconciliations on a weekly, monthly, quarterly, and annual basis.
  • Coordinate meetings and events, including booking venues and arranging catering.
  • Maintain office supplies and equipment, ensuring everything is in stock and working order.
  • Sustain polished and well-kept office space, including kitchenette and other common areas.
  • Handle confidential information with discretion and professionalism.
  • Perform other administrative duties as needed to support the team.

  • Strong organizational and multitasking abilities to executive office tasks efficiently.

Position Overview: We are seeking a highly motivated and results-driven Business Development Representative (BDR) to join our team. This role is designed for an individual who thrives in a fast-paced environment and enjoys building relationships while actively contributing to the growth of the firm. Unlike other BDR roles, you will be responsible for not only sourcing new clients but also playing an integral role throughout the entire sales process until the business is closed.

Key Responsibilities:

  • Prospecting and Lead Generation: Identify and reach out to new business opportunities, targeting decision-makers such as executives at small to mid-sized companies and high net worth individuals.
  • Outreach and Communication: Execute personalized outreach to engage with prospects, with a focus on building relationships and uncovering their needs.
  • Sales Meetings: Schedule and host meetings with potential clients to understand their challenges, present our value proposition, and move prospects through the sales process.
  • Proposal Creation: Write and present tailored proposals to prospective clients and guide them through decision-making.
  • Sales Funnel Management: Effectively manage prospects and pipeline, ensuring timely follow-ups, closing deals, and maintaining a high conversion rate.
  • Collaboration: Work closely with senior advisors and team members to ensure seamless transitions from prospecting to client onboarding.

Core Qualifications:

  • 1-3 years of sales experience is preferred, preferably in B2B or financial services.
  • Strong communication skills, both written and verbal, with the ability to hold impactful conversations with high-level executives.
  • Self-starter with a proactive approach and the ability to think on your feet.
  • Confidence in handling rejection and remaining persistent while reaching out to new prospects.
